These are the Terms & Conditions that apply when you reserve an apartment at The Spires Serviced Apartments UK Ltd.
You will be asked to accept these Terms & Conditions when you make a reservation.
We reserve the right to amend these Terms & Conditions at any time and you should therefore check them each time you make a reservation.
Whats included in the apartrment?
Just like a hotel we provide linen and towels as well as basic toiletries. We also provide kitchen provisions to get you started including washin up liquid, washing machine tablets, dishwasher tablets, tea, coffee, sugar and milk portions. As all of our apartments have a full kitchen we encourage you to bring your own supplies or why not order groceries on-line and arrange for them to be delivered on your day of arrival. We will ensure these are placed in your apartment for you.
All rates are per apartment and per night as is applicable, and are subject to Government Value Added Tax (VAT) levied at the applicable rate.
For a stay of more than 28 consecutive nights, VAT is only applied to 20% of the rate.
Please note that when a stay is shortened, we reserve the right to revise the nightly rate to reflect the new length of stay and this rate will then apply to the whole stay.
Securing Your Reservation
A credit card number is required to secure all reservations, unless a Company account has been set up prior to the reservation. Should a Company account be set up, a Company purchase order number will be required to convert a provisional reservation into a confirmed reservation. Provisional reservations will only be held for 24 hours.
The credit card number used to make the reservation must be produced at check in by the card holder, along with official photographic identification. (Please refer to Payment).
We accept the following credit/debit cards: American Express, Visa, Euro/Mastercard. We reserve the right to pre authorise credit cards prior to arrival.
All credit/debit cards must have the Chip & Pin function active.
The Spires Serviced Apartments UK Ltd. does not accept cheque payments for accommodation charges.
For every reservation, a credit/debit card must be used for pre authorisation – please refer to ‘Pre Arrival Pre Authorisation’.
The credit/debit card used to make your reservation must be produced upon arrival, unless you will be paying with a different card when you arrive. For Advance Purchase reservations, you must present the card you used to make the reservation.
The card holder must be present and will be asked for official photographic identification, e.g. valid passport, driving license or national I.D. card.
The guest will be required to enter the PIN code to complete the payment transaction.
No third party payments will be taken unless previously agreed with Management.
For stays on a Monday, Tuesday, Wednesday and Thursday nights, we charge a refundable £50 deposit which will be taken on your credit/debit card to cover any additional costs, including damage.
For stays on a Friday, Saturday and Sunday nights, a refundable £250 per apartment deposit will be taken on your credit/debit card to cover any additional costs, including damage.
For stays on the 24th and 31st of December, a refundable £500 per apartment deposit will be taken on your credit/debit card to cover any additional costs, including damage.
Cancellation policies may vary – please refer to your booking confirmation.
Our standard cancellation policy is 24 hours notice. If you cancel your reservation up to 24 hours and no later than 2 p.m. on the day prior to your arrival, we will not charge a cancellation fee. If you cancel your reservation less than 24 hours prior to arrival or are a ‘no-show’, you will be charged for the first night.
Advance Purchase bookings cannot be cancelled or modified at any time. 95% of the payment due will be taken at the time of booking. The remaining 5% will be taken on check in using the same card with which the booking was made. This payment is non refundable in the event of cancellation.
Please Note: The Spires Serviced Apartments UK Ltd. cannot accept any direct cancellations of reservations made through third party agents. If you wish to cancel a reservation made through a third party agent, you must contact the agent to cancel the booking. The Spires Serviced Apartments UK Ltd. will only deem the reservation cancelled on receipt of the cancellation notice from the agent.
For early departures, please refer to the cancellation policy on your booking confirmation.
Events Outside Our Control
Your reservation may be cancelled if an event outside of our control (including industrial action, explosion, act of terrorism, fire, flooding and failure of power and/or water supplies or emergency evacuation) means that we are unable to make your apartment available to you. In this case, we will contact you to let you know as soon as possible, and if you have already paid for your apartment, we will refund your payment to you. If you have not yet paid for your apartment, you will not have to make a payment to us.
Check In And Check Out
Check in is from 02.00 p.m. on day of arrival. Check out is 10.00 a.m. on day of departure.
Early check in and late check out can be arranged in advance, subject to availability, and requested in advance of arrival. Extra charges may be applicable.
Proof Of Identity
Guests will be asked to provide proof of identity and nationality upon check in. All guests will be asked to complete a registration form and provide their identity card/passport details. Acceptable forms of identification are a passport, driving licence, ID card or police warrant card.
Allocation Of Apartment
The Spires Serviced Apartments UK Ltd. will do everything it can to provide guests with the apartment(s) they have selected and reserved. If this is not possible, The Spires Serviced Apartments UK Ltd. reserves the right to move guests to alternative apartment(s) within The Spires, the total capacity of which will be equal or greater than the original apartment chosen. Please note that when relocating to a larger apartment type, The Spires Serviced Apartments UK Ltd. reserves the right to split these into several apartments, however the guest will be only charged at the original value for the apartments that they have booked.
Out Booking Policy
Should we find ourselves unable to accommodate your reservation for reasons other than events outside our control, The Spires Serviced Apartments UK Ltd. reserves the right to book out your reservation to an alternative accommodation provider of a similar standard.
Please note that our apartments are not intended as a venue for social gatherings, parties or other such events. The Spires also reserves the right to not accept reservations from hen and stag parties.
Each apartment type has a maximum occupancy level, which if exceeded, may result in an extra charge being taken and may lead to your immediate removal from the premises without further notice and without refund of any accommodation charges.
The maximum occupancy for each apartment type is:

Where a cot has been supplied, the maximum occupancy will be increased to include a child under the age of 5 years old.
The Spires Serviced Apartments UK Ltd. Expectations of You (and your group)
You must not:
If you or your group cause damage or loss of any kind to the apartment(s), other guests or their property, you (as the person making the booking) will be responsible for that damage or loss and you shall be liable to pay to The Spires Serviced Apartments UK Ltd. on demand the amount required to make good or remedy such damage or loss.
If you or your group cause unreasonable disturbance to our other guests or The Spires staff, you may be requested to leave the building immediately and your accommodation charges will be forfeited. In the event that you refuse to vacate the apartment after a request from Management, the police may be asked to attend.
Zero Tolerance – Staff Abuse
We will not tolerate any violence, verbal or physical abuse to any member of staff of The Spires Serviced Apartments UK Ltd. Anybody exhibiting inappropriate behaviour may be removed from the premises. In the event that you refuse to vacate the apartment after a request from Management, the police may be asked to attend.
The Spires Serviced Apartments UK Ltd. reserves the right to refuse reservations for anyone under the age of 21.
Reservations From Local Postcodes
The Spires Serviced Apartments UK Ltd. reserves the right to not accept leisure bookings from people who have a local postcode to the location where they wish to stay, i.e. anything beginning with B, WV and CV in Birmingham, G in Glasgow and AB in Aberdeen.
The Spires Serviced Apartments Ltd. UK are governed by The Hotel Proprietors Act 1956.
The Spires Serviced Apartments UK Ltd. reserves the right to refuse any reservation at the time of reservation up to check in.
All reservations are at the discretion of Management and The Spires Serviced Apartments UK Ltd. reserves the right to refuse any reservation or cut short any reservation which we deem may be a breach of our terms and conditions.
Guests will be held liable for any loss, damage or personal injury that they may cause at The Spires Serviced Apartments UK Ltd. Guests should note that, where appropriate, charges for damage and smoking in an apartment apply, a charge will be included for the apartment being out of service whilst remedial work takes place.
Service Animals/Assistance Dogs
Service animals/assistance dogs are permitted on our premises with prior agreement from Management. Guests who use service animals/assistance dogs need to be in full control of their animal at all times.
Pet Policy – Aberdeen, Edinburgh and Glasgow only
The Spires Serviced Apartments Aberdeen, Edinburgh and Glasgow offer its guests pet friendly accommodation.
Guests travelling with pets will be charged a one off fee of £50, which is used to cover the deep cleaning of the apartment on departure.
In addition to the one off fee, guests will be required to complete a ‘Pet Disclaimer Form’. By doing so, the guest agrees to be liable for the costs of any damages caused by the pet during the stay. Should a guest refuse to sign the disclaimer, The Spires Serviced Apartments UK Ltd. reserves the right to cancel the reservation with immediate effect.
All guests who have a pet with them must have prior agreement from Management and will be required to agree to the terms and conditions of The Spires pet policy, which is provided at the time of booking.
Due to the nature of our business, The Spires Serviced Apartments Ltd. may be required to contact guests prior to arrival in relation to their reservation. The Spires Serviced Apartments Ltd. will not accept responsibility for any issues arising from incorrect contact details being provided by guests. We strongly advise all guests to provide correct contact details that they know they will be contactable on.
We will require your name and address to identify you. We also require telephone contact details and email address so that we may contact you in connection with your stay e.g. to discuss requirements or forward your invoice for your records. We will not publish or share your contact details with any third parties nor will we use your contact details for any marketing purposes unless you specifically consent to us doing so.
We may require credit card information to take payment or guarantee your stay. We are PCI compliant so do not store these credit card details. On entering your credit card into Secure Trading an encrypted code is generated for our use until the transaction is complete. New credit card details need to be provided to us for any subsequent stays.
You may request us to remove your address and contact details from our reservation system at any time after checkout.
